BEFORE YOU START

Pre-migration checklist

Do these three things first. They prevent the most common migration problems — especially the tight 30-day data window.

  1. Check your renewal date. Xola's contract is annual auto-renewing. Start your cancellation at least 30 days before your renewal date, in writing to support@xola.com. Keep the email thread — it's your termination evidence.
  2. Export waivers FIRST. Xola's terms don't explicitly guarantee bulk waiver export after termination. Bulk-export signed waiver PDFs while your account is still active — don't rely on the post-termination window for this.
  3. Plan for the 30-day post-termination window. Xola grants one complimentary data export within 30 days of termination; after day 31, they may delete all Provider Data. Set a calendar reminder for day 29 to confirm you have everything you need.

STEP BY STEP

The migration, in order

Each step assumes the previous one is complete. Run them sequentially, not in parallel.

Export your data from Xola (while active)

Because the post-termination data window is tight, pull everything while your account is still active. Xola supports CSV roster export via reporting, and bulk waiver PDF download from the waiver admin. Because Xola uses Stripe passthrough, payment tokens stay in your Stripe account.

Pull these, in this order:

  • Rosters — CSV export from reporting, all historical
  • Customers — via reporting (email, phone, notes)
  • Products/Experiences — documented via screenshots + exported where possible
  • Signed waiver PDFs — bulk export from waiver admin (critical: don't leave this for post-termination)
  • Payment records — from your own Stripe dashboard
  • OTA channel list — Viator, GetYourGuide, Expedia connections documented

Prepare CSVs for EquipDash

Xola column headers don't match EquipDash import templates. Download EquipDash's templates (Settings → Import) and remap:

  • Rename column headers to match EquipDash templates
  • Split full names into first/last if needed
  • Convert Xola's Experience → Schedule structure to EquipDash's product + capacity model
  • Remove the ~6% partner fee from your historical price data — you'll reset base pricing without the guest surcharge

Keep original Xola CSVs untouched. You'll want them if anything looks off after import.

Reset your public pricing

This is Xola-specific: your Xola-listed prices silently baked in the 6% guest surcharge. Once you're on EquipDash's operator-side 2%, you have two choices — drop prices by ~4% to pass the saving to guests, or keep prices the same and absorb the 2% yourself (roughly +4% margin vs Xola).

  • Audit your top 10 experience prices on Xola
  • Decide: drop by 4% (customer win) or hold (margin win)
  • Update all OTA channel listings so Xola-era pricing doesn't persist

Import into EquipDash and rebuild waivers

Import in this order: Products → Customers → Open bookings. Rebuild waiver templates natively (signed waiver PDFs are already archived from step 1).

  • Products go through a preview screen — verify pricing, capacity, schedule before confirming
  • Customers import with a tag you specify, so you can filter imported vs fresh signups
  • Open bookings import as draft — review each before confirming
  • Waiver templates: rebuild in EquipDash; link signed archive to each customer manually for historical reference

Cancel Xola and complete cutover

Send termination email to support@xola.com (reference your account + termination date). Run both systems for a week, then fully cutover. Set a day-29 reminder for the final data export check.

  • Email support@xola.com with termination notice (keep the thread)
  • Update website, Google profile, social bio links to EquipDash booking URL
  • Redirect hardcoded widgets from Xola to EquipDash
  • On day 29 post-termination: verify all exports complete, especially waiver PDFs
  • Cancel any separate WaiverForever/Smartwaiver subscriptions if you layered them

Cardholder data export costs extra

Xola's terms state operators must request cardholder data via a PCI-DSS approved secure file transfer method — and they charge an additional fee for it. Plan to re-tokenize returning customer cards on EquipDash rather than pay for the transfer.

No self-serve cancellation

Cancellation requires emailing support@xola.com. There's no dashboard button. Keep your termination email and any confirmations — it's your only evidence if the billing cycle gets disputed.

Public price reset required

Xola prices silently baked in the 6% guest surcharge. When you drop the surcharge, either pass the saving on (drop prices ~4%) or absorb it (+4% margin). Don't let Xola-era prices persist across OTA channels.

Outstanding fees immediately due

Xola's terms state outstanding fees become immediately due on termination. Reconcile open invoices and pending refunds before filing the termination notice — surprises here can delay the data export.
