Pre-migration checklist

Do these three things first. They prevent the most common migration problems.

  1. Pick a quiet week. Off-season or low-demand window. 5–7 business days end-to-end. Avoid peak booking periods.
  2. Export everything from Rezdy first. Pull CSVs for customers, bookings (completed + upcoming), products, Smartwaiver history, and reports. Dated folder — this is your rollback snapshot.
  3. Inventory your Rezdy Marketplace / channel connections. List every OTA you distribute through Rezdy (Viator, GetYourGuide, Expedia, Klook, etc.). Decide before cutover whether to direct-connect each OTA on EquipDash or go without OTA distribution temporarily.

STEP BY STEP

The migration, in order

Each step assumes the previous one is complete. Run sequentially.

Export your data from Rezdy

Rezdy exports from the admin under each section's list view. Waiver history sits in Smartwaiver — export separately from that account. Reviews on Rezdy aren't native; they route to the OTA the booking came from.

Pull these CSVs, in this order:

  • Customers — name, email, phone, tags, notes
  • Products (Tours/Activities) — pricing, capacity, schedules, resources
  • Bookings — completed (last 12 mo) + upcoming beyond cutover
  • Smartwaiver archive — export signed waivers as PDF for compliance
  • Reports — last 12 months performance data

Prepare CSVs for EquipDash

Rezdy column names don't match EquipDash import templates. Download templates (Settings → Import) and remap:

  • Rename column headers to match EquipDash templates
  • Split full names into first/last if needed
  • Convert Rezdy's resource-assignment structure to EquipDash's capacity model
  • Clean stale customer rows, test bookings, duplicates

Keep original Rezdy CSVs untouched. They're your rollback snapshot if anything looks off.

Import into EquipDash

Import in this order: Products → Customers → Open bookings. Historical bookings import as notes on customer records, not as EquipDash bookings (switch date is day zero for analytics).

  • Products go through preview — verify pricing, capacity, schedule before confirming
  • Customers import with a tag so you can filter them from fresh signups
  • Open bookings come across as draft bookings — review each before confirming

Set up payments, waivers, and channel distribution

Payment gateway and waiver setup are the biggest changes. Decide early how you'll handle OTA distribution post-Rezdy.

  • Payments: Connect your gateway (Stripe or alternative) in EquipDash Settings → Payments. If you used RezdyPay, plan the gateway swap carefully — confirm all pending payouts land before disconnecting.
  • Waivers: Build waiver templates natively in EquipDash. Cancel Smartwaiver subscription once you're satisfied native waivers cover your workflow.
  • Channel manager: Decide per-OTA: direct-connect via EquipDash integration, use a third-party channel manager (Bokun, Tourplan), or exit that OTA. Rezdy Marketplace won't feed EquipDash — that's the biggest trade-off.
  • Email templates: Rewrite confirmation, reminder, and follow-up emails.

Cutover: run both, then switch

For one week, take new direct bookings in EquipDash while Rezdy fulfils existing bookings and continues OTA distribution. Keep Rezdy read-access open 60 days for reconciliation.

  • Update website, Google profile, social links to EquipDash booking URL
  • Redirect hardcoded /book/ links from Rezdy widgets to EquipDash
  • Let customers with open bookings finish in Rezdy — don't force-migrate live reservations
  • Transition OTA connections one at a time — don't disconnect Rezdy Marketplace until alternatives are live
  • After parallel week ends, cancel Rezdy subscription (keep exports archived permanently)

If you used RezdyPay, get a written outstanding-balance statement before switching gateways. Confirm no pending chargebacks and a clear payout schedule for anything in flight.

Smartwaiver archive needs handling

Signed waivers live in Smartwaiver. Export them as PDFs for compliance archive before cancelling. Don't lose signed records even if you stop using Smartwaiver.

Reports start fresh

Rezdy reports don't map 1:1 to EquipDash. Export last 12 months from Rezdy before cancelling — those CSVs are your pre-switch benchmark.

Email templates rewritten, not imported

Copy Rezdy email templates to a doc before cutover. EquipDash's template editor uses different variables — ~1 hour per template to adapt.
