Pre-migration checklist

Do these three things first. They prevent the most common migration problems.

  1. Pick a quiet week. Ideally your off-season or a low-demand window. Migration takes 5–7 business days end-to-end.
  2. Export everything from Peek Pro first. Pull CSVs for customers, bookings (completed + upcoming), products, and reviews from the dashboard. Dated folder. This is your rollback snapshot.
  3. If on Peek Payments, request an outstanding-balance statement. Confirm no holds, no pending chargebacks, and a clear payout schedule for anything in flight before you switch gateways. Do this early — responses can take days.

STEP BY STEP

The migration, in order

Each step assumes the previous one is complete. Run sequentially.

Export your data from Peek Pro

Peek Pro exports from the dashboard under Reports → Exports. Waiver content lives in Peek Waivers — export those separately as PDF or CSV. Reviews come from the Reviews module.

Pull these CSVs, in this order:

  • Customers — name, email, phone, notes, tags
  • Products / Activities — pricing, capacity, schedules, add-ons
  • Bookings — completed (last 12 mo) + upcoming beyond cutover
  • Waivers — export signed waivers as PDF archive (historical compliance record)
  • Reviews — export review data for reputation transfer
  • Payments — for reconciliation only; Peek Payments is source of truth for anything in flight

Prepare CSVs for EquipDash

Peek Pro column names don't match EquipDash import templates. Download templates (Settings → Import) and remap:

  • Rename column headers to match EquipDash templates
  • Split full names into first/last if needed
  • Convert Peek's activity schedules to EquipDash's capacity+duration format
  • Clean stale customers, test bookings, duplicates

Keep original Peek Pro CSVs untouched — they're your rollback snapshot.

Import into EquipDash

Import in this order: Products → Customers → Open bookings. Historical bookings import as notes on customer records — not as bookings (EquipDash treats switch date as day zero).

  • Products go through preview — verify pricing, capacity, schedule
  • Customers import with a tag so you can filter them from fresh signups
  • Open bookings come across as draft bookings — review each before confirming

Set up payments, waivers, reviews

The payment-gateway swap is the biggest change. You're moving from Peek Payments (in-house) to your choice of Stripe or alternative on EquipDash. Plan this carefully.

  • Payments: Connect your own Stripe (or preferred gateway) in EquipDash Settings → Payments. Confirm Peek Payments has paid out all pending balances before fully switching over.
  • Waivers: Rebuild waiver templates in EquipDash natively. Import exported PDFs as an archive for compliance reference.
  • Reviews: EquipDash ships native review/survey capture. Set up post-booking automation; existing Peek reviews stay on Peek's platform.
  • Email templates: Rewrite confirmation, reminder, and follow-up emails.

Cutover: run both, then switch

For one week, take new bookings in EquipDash while Peek Pro fulfils anything already booked there. Keep Peek Pro's read access open for 60 days for reconciliation.

  • Update website, Google profile, and social links to EquipDash booking URL
  • Redirect /book/ links from Peek Pro widgets to EquipDash
  • Let customers with open bookings finish in Peek Pro — don't force-migrate live reservations
  • After parallel week, cancel Peek Pro (keep exports archived permanently)
