BEFORE YOU START

Pre-migration checklist

Do these three things first. They prevent the most common migration problems.

  1. Map your Viator dependency. Check what % of bookings comes through Viator in Bókun reports. If >50%, build a Viator re-connection plan — leaving Bókun doesn't mean leaving Viator, but you'll reconnect through another certified connectivity partner.
  2. Don't drop to FREE mid-migration. Some operators try to "save" by dropping to FREE before fully switching — that kills OTA API immediately. Stay on your paid tier until cutover day.
  3. Cancel add-on subscriptions separately. Bókun mobile-app access, agent-area seats, and custom-report add-ons bill as separate subscriptions. List them now so nothing renews after you cancel the main account.

STEP BY STEP

The migration, in order

Each step assumes the previous one is complete. Run them sequentially, not in parallel.

Export your data from Bókun

Bókun supports Excel import/export for experiences, customer-privacy export for customer records, and a public REST API for bookings. Because payments run through Stripe Connect (operator-owned Stripe), booking payment tokens stay with your Stripe account.

Pull these, in this order:

  • Experiences — Excel export from product management
  • Customers — via the customer-privacy export flow
  • Bookings — via Bókun REST API (completed last 12 months + upcoming)
  • Payment records — from your own Stripe dashboard
  • Waiver PDFs — if using WaiverForever, export from WaiverForever admin directly
  • OTA channel list — document every active channel (Viator, GetYourGuide, Expedia, Airbnb, Klook) with its connection method

Prepare data for EquipDash

Bókun column headers don't match EquipDash import templates. Download EquipDash's templates (Settings → Import) and remap:

  • Rename column headers to match EquipDash templates
  • Split full names into first/last if needed
  • Convert Bókun's Experience → Option structure to EquipDash's product + variant model
  • Clean stale customers (bouncing emails, test bookings, duplicates)

Keep original Bókun exports untouched. You'll want them if anything looks off after import.

Import into EquipDash

Import in this order: Products → Customers → Open bookings. Don't try to import historical bookings — EquipDash treats your switch date as day zero, with customer history imported as notes on each customer record.

  • Products go through a preview screen — verify pricing, capacity, schedule before confirming
  • Customers import with a tag you specify, so you can filter imported vs fresh signups
  • Open bookings import as draft — review each before confirming

Set up payments, waivers, and re-certify OTAs

Because Bókun uses Stripe Connect, your Stripe merchant account stays with you — reconnect the same account to EquipDash. OTA channels require re-certification against the new platform.

  • Payments: Reconnect your existing Stripe account to EquipDash (Settings → Payments)
  • Waivers: Build waiver templates natively in EquipDash; cancel your WaiverForever subscription post-cutover
  • Viator re-certification: Apply as a direct Viator supplier or reconnect through another certified connectivity partner (see Viator's Connectivity Partners list)
  • Other OTAs: Reconnect GetYourGuide, Expedia, Klook, Airbnb one at a time — test each before going live
  • Email templates: Rewrite confirmation, reminder, follow-up emails — Bókun variables don't map 1:1

Cutover: run both, then switch

For one week, take new bookings in EquipDash while Bókun fulfils anything already booked there. Keep Bókun read access open for 60 days as your reconciliation safety net.

  • Update website, Google profile, and social bio links to the EquipDash booking URL
  • Redirect hardcoded /book/ links from Bókun widgets to EquipDash
  • Let customers with open reservations finish in Bókun — don't force-migrate live bookings
  • After parallel week ends, cancel Bókun main account AND all add-on subscriptions (mobile, agent-area, custom reports) individually

Viator re-certification takes weeks

Leaving Bókun doesn't mean leaving Viator — but reconnecting through another certified connectivity partner (or direct Viator supplier extranet) can take 2–4 weeks. Start the Viator re-apply paperwork before you start the migration itself.

OTA cancellation fees continue

Bókun operators report that booking fees continue to be charged even when tours are cancelled more than one month after booking. Close out cancelled-but-still-billable bookings before ending the account.

Add-on subscriptions bill separately

Mobile app, agent-area access, and custom reports are separate subscriptions on Bókun. Cancel each individually after the main account or they'll auto-renew.

Reports start fresh

Bókun's reports don't map 1:1 to EquipDash. Export your last 12 months of Bókun reports before cancelling — those CSVs are your only pre-switch benchmark.

Email templates rewritten, not imported

Copy Bókun email templates to a doc before cutover. EquipDash's template editor uses different variables, so adaptation is manual — ~1 hour per template.

No concierge service
